#Create the project boundary

  1. Create “Northstar Client Delivery” as a private project.
  2. Add only the manager and delivery members who need access.
  3. Create a board with clear status columns.
  4. Record the project purpose and ownership.

#Create accountable work

Create “Schedule Avery discovery call.” Assign an owner, estimate the effort, set a sensible due date, and add a checklist for reviewing the lead, proposing times, recording the outcome, and updating the stage. Use comments for decisions and private attachments only for necessary, sanitized documents.

#Make the workflow handoff visible

The workflow should create or link the task only after approval. Store the execution reference in activity where supported. If task creation fails, route the workflow to an owner rather than silently completing.

#Common mistakes

  • Adding observers who do not need private project access.
  • Uploading executable or browser-active files.

  • Workflow and task activity can be correlated.
