SMTP Setup
SMTP must work before enabling OTP, password reset, verification, portal invitations, scheduled reports, or customer notifications.
Common Settings
| Field | Purpose |
| Host | Provider SMTP hostname. |
| Port | Usually 587 for TLS or 465 for SSL. |
| Encryption | TLS, SSL, or none according to provider guidance. |
| Username | Mailbox or provider account user. |
| Password/API key | Provider-issued SMTP credential. |
| From address | Verified sender identity for system mail. |
Test Flow
- Save mail settings.
- Send a test email from Settings.
- Request a password reset for a non-admin test user.
- Trigger a portal invitation or OTP event.
- Review System Health mail checks.
Provider Readiness
- Verify the From address or domain with the mail provider.
- Use an app password or provider credential instead of a personal mailbox password.
- Publish SPF and DKIM; add DMARC when the sending domain is ready.
- Confirm queue workers and the scheduler are running for deferred and scheduled messages.
- Keep sandbox and production credentials separate and remove test recipients before launch.
Failure Diagnosis
| Symptom | Check |
|---|
| Authentication failed | Username, app password/API key, host, and provider policy. |
| Connection timeout | Hosting outbound-port rules, firewall, hostname, and encryption/port pairing. |
| Sent but not received | Queue status, spam folder, provider event log, SPF, DKIM, and From-domain alignment. |
| Portal invitation has an incorrect URL | Application URL, HTTPS proxy configuration, and cached configuration. |
